Job Title: Executive Assistant to PMG Head

Job Summary:
We are looking for a dynamic and highly organized Executive Assistant (EA) to support the PMG Head in managing strategic, operational, and administrative functions. This role blends executive assistance with coordination of the Customer Service & Dispatch (CSD) vertical. The ideal candidate will act as a communication bridge between teams, ensure smooth day-to-day operations, and support the PMG Head in driving excellence across dispatch and customer service functions.
Key Responsibilities:
A. Executive Assistance:
Manage the PMG Head’s calendar, schedule meetings, and coordinate appointments and travel arrangements.
Prepare agendas, minutes of meetings, and ensure timely follow-ups on key action items.
Draft and manage official communication, presentations, reports, and confidential documents.
Act as a gatekeeper and handle correspondence on behalf of the PMG Head.
Support in tracking departmental KPIs, project deadlines, and ongoing initiatives.
Assist in internal reviews, MIS preparation, and coordinating with cross-functional teams on strategic tasks.
B. Communication & Coordination:
Serve as the primary point of contact for internal and external communication for the several inter department of the organisation.
Coordinate with production, logistics, sales, and other departments to ensure timely order dispatch and delivery.
Handle escalations, customer queries, and ensure efficient communication flow across all stakeholders.
C. Order Management & Documentation:
Maintain updated records of customer orders, dispatch schedules, and delivery progress.
Review and prepare dispatch-related documentation, ensuring accuracy and adherence to internal protocols.
Provide real-time updates to the CSD Head and concerned departments on order and dispatch status.
D. Customer Support:
Address customer queries regarding order fulfillment, dispatch delays, or delivery issues.
Ensure professional, timely, and solution-oriented responses to customer concerns.
E. Process Improvement:
Identify inefficiencies in dispatch and service processes; suggest and support implementation of improvements.
Work with the PMG Head to enforce SOPs and best practices for dispatch and customer service.
F. Reporting & Analysis:
Generate reports on dispatch performance, order fulfillment, customer feedback, and issue resolution.
Analyze trends and provide insights for continuous improvement of customer satisfaction and delivery metrics.
Requirements:
Bachelor’s degree in Business Administration, Operations, or a related field (MBA preferred).
2–5 years of experience as an Executive Assistant, preferably with exposure to operations, customer service, or logistics.
Exceptional organizational and communication skills.
Ability to manage multiple priorities, deadlines, and confidential information.
Proficient in Microsoft Office (Excel, PowerPoint, Word) and project management tools.
Strong analytical skills and attention to detail.
Preferred Attributes:
Experience in the construction, PEB, manufacturing, or infrastructure sectors.
Familiarity with ERP systems and dispatch management processes.
High emotional intelligence, adaptability, and ownership mindset.
